Terms & Conditions

General - By confirming your purchase, you accept that these Terms and Conditions form the basis of a contract between you and Bowood Hotel, Spa and Golf Resort.   A contract will not exist until your order has been received, accepted, and paid for in full. Once cleared funds are received, a binding agreement is in place.

Ticket Price - The description and price of your order will be displayed on the Bowood Hotel, Spa and Golf Resort website at the time of purchase. All prices are shown in UK Sterling (£) and include VAT, service charge, and all applicable taxes unless otherwise stated. Prices displayed on the website are subject to change without notice; however, once payment has been successfully processed, the price paid will not increase. We accept most major credit and debit cards through our secure payment gateway.

Cancellations & Amendments - All payments and deposits are non-refundable and non-transferable. In the event of cancellation by the organiser or individual guests, including cancellations due to adverse weather conditions, all monies paid will be forfeited.  Once final payment has been made, the full amount paid becomes strictly non-refundable and non-transferable in the event of cancellation, reduction in guest numbers, or non-attendance. Should the size of the party reduce after payment has been made, payments cannot be offset against food, beverages, accommodation, or any other services. These cancellation terms apply to all event bookings and associated services. 

Seating Arrangements – unless otherwise stated for the specific event - Tables can accommodate up to a maximum of 10 guests. Unfortunately, we are unable to accommodate tables larger than 10 guests. The Hotel will make every effort to seat groups at private tables where possible. However, parties of fewer than 7 guests may be allocated to shared tables with other guests attending the event. We reserve the right to combine smaller parties on shared tables where necessary. Individual table plans or specific seating layouts cannot be guaranteed for shared party nights. 

Table Location Requests - Requests for preferred table locations will be noted wherever possible, but are strictly subject to availability and cannot be guaranteed. Where a booking requires multiple tables for the same group, the Hotel will make every effort to seat these tables together or in close proximity to one another. However, this cannot be guaranteed and remains subject to availability and final event layout. 

Hotel Cancellation Rights - The Hotel reserves the right to cancel any booking or event at any time if the Hotel, or any part of it, becomes unavailable due to circumstances beyond our reasonable control, or if either party becomes insolvent. In such circumstances, the Hotel will endeavour to offer an alternative date or suitable arrangement where possible.

Minimum Attendance & Event Cancellation – The Hotel reserves the right to cancel or reschedule an event if minimum attendance levels are not met. In such circumstances, guests will be offered either an alternative date or a full refund of monies paid for the event booking only. The Hotel accepts no liability for any additional costs or expenses incurred.

Age Policy & Identification –The Hotel operates a strict Challenge 25 policy. Guests may be required to provide valid photographic identification before alcohol is served.  Alcohol will not be served to anyone under the age of 18. 

External Food & Drink - Guests are not permitted to bring or consume their own food or beverages on the premises unless prior written consent has been provided by the Hotel.  The Hotel reserves the right to conduct bag searches. Any unauthorised alcohol discovered will be confiscated and returned at the end of the evening. 

Behaviour & Right to Refuse Entry - The Hotel reserves the right to refuse admission or remove any guest whose behaviour is considered inappropriate, abusive, intoxicated, or likely to cause offence, disruption, or danger to other guests or staff. No refunds will be issued in such circumstances.

Damage to Property - The booking organiser shall be responsible for any damage caused to the Hotel, its fixtures, furnishings, or equipment by any member of their party. The Hotel reserves the right to charge for the full cost of repair or replacement. 

Dietary Requirements & Allergens - All dietary requirements and allergy information must be provided in writing no later than the final balance due date.  Whilst every effort will be made to accommodate dietary requests, the Hotel cannot guarantee an allergen-free environment. 

Entertainment & Event Changes - The Hotel reserves the right to amend advertised entertainment, menus, room layouts, event themes, or event content without prior notice where necessary.

Car Parking & Cloakroom - Vehicles and their contents are left entirely at the owner’s risk. The Hotel accepts no responsibility for loss, theft, or damage to vehicles or personal belongings.  Items left in the Hotel cloakroom are also left at the owner’s risk. Whilst every care will be taken, the Hotel cannot accept responsibility for any loss or damage to personal items. 

Data Protection - Personal information provided in relation to bookings will be processed in accordance with applicable data protection legislation and the Hotel’s Privacy Policy. 

Force Majeure - The Hotel, Spa, Restaurant, Resort, and Golf Course may be required to close, suspend, or amend services due to circumstances beyond our reasonable control (“Force Majeure”).  Such circumstances may include, but are not limited to:  Acts of God, Severe weather conditions, Industrial action, Pandemics or outbreaks of infectious disease, Terrorism or civil unrest, Government restrictions or legislation, Failure of electricity, utilities, or essential services. The Hotel will use all reasonable endeavours to minimise disruption and, where practical, offer alternative arrangements. However, the Hotel shall not be liable for any loss, damage, or additional expenses arising from such circumstances. Where services are rearranged to alternative or peak seasonal dates, the Hotel reserves the right to apply additional charges to reflect revised costs or pricing.

Terms and Conditions - Management reserves the right to amend these Terms and Conditions without prior notice.
